Job Summary
We are seeking a detail-oriented and proactive Purchasing Officer to manage the procurement of goods and services necessary for our operations. The successful candidate will ensure that purchases are made at the best possible price and quality while maintaining good relationships with suppliers.
Responsibilities:
- Maintain accurate records of purchases, including prices, quantities, and delivery dates. Ensure easy access for reference and reporting.
- Collaborate with departments to identify procurement needs. Prepare and send purchase orders, ensuring accuracy and compliance.
- Build and maintain strong supplier relationships. Conduct regular evaluations to ensure quality, timely delivery, and competitive pricing.
- Monitor stock levels and coordinate with management to maintain optimal inventory. Address potential shortages or excesses proactively.
- Resolve purchasing issues (e.g., incorrect shipments, damaged goods) in collaboration with suppliers and internal teams.
- Support budget management, aligning purchases with approved budgets and identifying cost-saving opportunities.
- Generate reports on purchasing activities, including expenditures, savings, and supplier performance.
- Ensure all procured items meet hotel quality and brand standards, emphasizing organic and eco-friendly products for spa and wellness.
- Ensure compliance with hotel policies and local regulations.
- Manage invoice inputting and credit note issues, ensuring timely processing for month-end requirements.
- Assist in Stock takes if required.
Requirements:
- High school diploma or equivalent.
- Proven experience in procurement, preferably in the hospitality industry.
- Strong communication, interpersonal, and multitasking skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with inventory/procurement software.
- Basic knowledge of accounting principles and budget management.
- Commitment to quality, service, and wellness-driven hospitality.
- Proficiency in English (spoken and written); additional languages are an asset.
- Knowledge of inventory management principles.
- Ability to work independently and in a team.
- Attention to detail and accuracy in data entry.
- Valid driver’s license (for local procurement tasks).
- Preferably residing in Malta.
