Job Summary
AX Hotels Sliema are looking for an Events Coordinator to join their growing team. The successful individual must be mature, responsible, and self-confident. An excellent personal presentation and an outgoing personality are also essential.
Responsibilities:
- Ensure that administrative work is up-to-date and maintain updated records in the operating system.
- Develop and maintain a high level of communication and effective relations with colleagues and clients.
- Ensure a pro-active sales attitude and be aware of sales opportunities outside and within the hotel.
- Assist to upsell on rooms, F&B, and any other revenue generating products. Actively contribute towards achieving Revenue Plan objectives.
- Keep updated on the market’s needs, trends, and behaviour changes to adopt proactive strategies.
- Ensure that all refused business is recorded with reasons for refusal.
- Collect information and build a database of guests’ (bookers and residents) history.
- Monitor customer feedback and ensure to meet the customer service standards, in a profitable manner.
- Provide the clients with detailed information and guidance to obtain accurate event specifications.
- Conduct pre- and post-event meetings with clients including hosting and show rounds of the hotel’s venues.
- Participate at the annual Weddings Fair and any other ‘open days’ happening at the hotels’ venues.
- Issue Event Quotes and follow up accordingly.
- Produce Event Orders to be distributed to all relevant department heads.
- Coordinate all details for the organization of upcoming events (ex. welcome boards, personalized menus, table place names, table plans, etc.)
- Monitor event billing in liaison with the Accounts department.
Requirements:
- A minimum of 2 years of selling/organizing weddings/social events
- Very well organised and smart in appearance.
- Fluency in Maltese and English languages; knowledge of another European language will be considered an asset.
- Have excellent verbal and written communication skills
- Computer literacy
- Have strong negotiation, communications, inter-personal and presentation skills.
- Be able to work flexible hours including evenings, weekends and public holidays.
- Excellent knowledge of Opera Sales and Catering will be considered an asset.
- Working experience and exposure in a hotel and/or F&B environment will be an advantage.
