Job Summary
AX Group is seeking a highly organised and detail‑oriented Document Controller to support AX Development, the department responsible for consolidating and driving the Group’s activities within the development sector. The selected candidate will play a vital role in ensuring the smooth management of documentation, communication, and project coordination throughout all phases of construction.
This role is central to maintaining accuracy, compliance, and workflow efficiency across site teams, contractors, consultants, and internal departments. The Document Controller will contribute to the successful delivery of development projects by upholding robust document control standards and supporting fast‑paced, deadline‑driven operations.
Responsibilities
- Provide administrative and coordination support to project and site management teams.
- Maintain accurate and up-to-date project documentation, including drawings, permits, method statements, RFIs, variation orders, and site records in accordance with company procedures.
- Maintain strict version control to ensure only the latest revisions are issued and used on site.
- Assist with preparing project reports, progress updates, schedules, and compliance documentation.
- Coordinate meetings, prepare agendas, take minutes, and track follow-up actions.
- Support procurement activities, including obtaining quotations, preparing purchase requests, and tracking deliveries to site.
- Monitor project timelines, milestones, and deliverables, escalating delays or issues as needed.
- Liaise with contractors, suppliers, consultants, and internal teams to ensure smooth information flow.
- Assist with health & safety documentation, site registers, and compliance requirements.
- Provide general administrative support to the project team and contribute to efficient project operations.
Requirements
- Minimum of 2-5 years previous experience in construction administration, or a similar role within the construction industry.
- Strong organisational and data-management skills, with the ability to maintain accurate records.
- Excellent attention to detail and accuracy.
- Proactive, structured, and solution-oriented approach to work
- Strong communication and reporting abilities.
- Ability to work under pressure and manage multiple deadlines effectively.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams); experience with project
management or document-control software is an asset. - High level of integrity, professionalism, and organisational discipline.
- Familiarity with construction processes, terminology, and documentation is highly desirable.
